Job Purpose

The main responsibility of this role is taking care of people. It's your responsibility as HR Coordinator to ensure that every employee feels supported, valued, and cared for from the moment they apply until they depart. You will be responsible for welcoming new hires, including everyone in payroll, keeping records accurate, and applying policies fairly.

Ensure that contracts and benefits are clear and current, assist managers in matching the right people with the right jobs, and be available to listen to concerns. Your work keeps the entire organization functioning smoothly, whether you're planning a training session, creating a payroll file, or helping someone get through a tough time.

HR Coordinator will follow up on a complaint, support the safeguarding focal point, ensuring that everyone at Bonyan feels heard, protected, and valued.

Duties and Responsibilities

Staffing/recruitment:

·         Supervising the organization’s hiring process from recruiting and interviewing to a smooth onboarding process.

·         Ensuring Bonyan’s programs and administrative teams are optimally staffed; staff are well trained and aware of their duties and responsibilities and are thriving in their roles.

·         Run background and reference checks and send regrets to unsuccessful candidates.

·         Ensure the recruitment files are complete and updated with every recruit.

·         Draft offers and polite regret letters.

·         Manage staff contracts, including their extensions and amendments.

·         Coordinate with IT and Admin so each newcomer has a laptop, email, and workspace ready from day one.


Payroll management, compensation, and benefits:

·         Timely and accurate processing of the payroll. Ensuring payroll data is accurate and up-to-date.

·         Determine that staff compensation is fair, meets standards, and is enough to motivate and retain staff.

·         Preparing and amending, where necessary, HR documents, i.e., employment contracts and recruitment guides. Handle medical cover, pension, and any other staff benefits.

 

Safeguarding:

·         Supervise and support the safeguarding focal point (log complaints, track investigations, and help close cases on time).

·         Review the investigation reports to ensure adherence to the standards.

·         Ensure the incorporation and application of safeguarding principles in both Bonyan's projects and activities.

·         Support the safeguarding focal point in providing the awareness sessions and safeguarding trainings.


  Other tasks:

·         Implement Bonyan’s HR systems and procedures, ensuring adherence to employment standards, local labor law, HR policy, and other Bonyan policies.

·         Maintaining proper physical and online personnel records. Store digital personnel files in the Odoo system and SharePoint, keeping them orderly and confidential.

·         Handling employee grievances, labor relations, staff welfare, and benefits. Implementing disciplinary procedures and measures.

·         Follow-up HR functions on the Odoo ERP system are performing smoothly.

·         Conducting performance appraisals. Developing/reviewing rewards, compensation, and a benefit system that motivates staff.

·         Perform any other duties assigned by management.


Academic Qualifications, Requirements, and Skills

  Academic Qualifications:

·         University bachelor’s degree.

·         A professional certificate in HR is preferred.


Requirements & Skills:

·        3 years of experience as an HR coordinator (essential).

·        Exposure to labor law and employment equity regulations.

·        Effective HR administration and people management skills.

·        Exposure to payroll practices.

·        Full understanding of HR functions and best practices.

·        Excellent written and verbal communication skills.

·        Highly computer literate with capability in email, MS Office, and related business and communication tools.

·        Fantastic organizational and time management skills.

·        Strong decision-making and problem-solving skills.

·        A meticulous focus on detail.

·        A native Arabic speaker who is fluent in English, including speaking, reading, and writing.
