Job Purpose
Ensure the implementation of HR and safeguarding policies and procedures in alignment with humanitarian standards, and to support the creation of a safe and inclusive work environment that respects the dignity of all staff and beneficiaries.
Duties and Responsibilities
Flow-up Project Reports:
- Follow-up receiving the monthly staff reports, monthly attendance reports, and monthly updates.
- Audit the received reports and provide the finance department with them periodically.
- Prepare and follow-up the contracts and the monthly attendance reports and all the required documents for project staff.
- Maintain all the documents which are related to the project.
- Maintain the employee documents:
- Maintain updated copies of staff documentation including national ID, and educational certificates.
- Follow-up on receiving training course certificates from employees.
Administrative Work:
- Follow-up hiring process,
- Follow-up the SGK registration prosses.
- Assist in organizing staff training sessions, workshops, and activities.
- Prepare the purchase orders required by the HR department.
- Coordination and follow-up the internal and external Training courses for employees.
- Any other related tasks assigned by the direct manager.
Safeguarding:
- Support staff to sign the Organization’s Code of Conduct, CSG and PSEA papers.
- Provide awareness-raising sessions on SEA & CSG for all staff and other personnel in the Organization on a regular basis, including for newcomers.
- Ensure that procedures to guard against the hiring of persons who have a record of SEA & CSG offenses are put in place and applied.
- Work with human resources personnel to include PSEA content in staff inductions, including all contractors, consultants, temporary staff, and casual laborers.
- Receive complaints, reports, and questions about alleged acts of sexual exploitation and abuse and child safeguarding committed by the organization’s personnel
- Take appropriate measures to ensure safety and confidentiality for all reported CSG/SEA issues.
- Provide a capacity building to all SR members about PSEA/CSG guidance and support in the development of awareness-raising, sensitization, communication, and training resources.
- Track all GSG and PSEA-related activities for the Organization and ensure that all information on PSEA- GSGa nd related activities are shared with relevant persons in the Organization (trainings, complaints, and procedures).
Academic Qualifications, Requirements, and Skills
Academic Qualifications:
Bachelor’s degree in administrative or any relevant area.
Requirements:
- Minimum 2 years of experience in the HR and safeguarding field.
- High skills in using Office programs (Word, Excel, PowerPoint ...)
- Experience with ERP systems (e.g., Odoo) is highly preferred.
- Fluently in English languages spoken and written.
